Covance Distributed Order Management Admin in Indianapolis, Indiana

Job Overview:

Directs and oversees the order fulfillment process, Master Data Management, and Distributed Order Management (DOM) technology. Responsible for staff whose duties include data entry, work order administration, business rule creation, and Third Party Logistics (3PLs) order fulfilment and shipping. Establishes processes for order status tracking, internal communications, data maintenance, and 3PL fulfillment connectivity. Ensures DOM and associated systems are maintained and updated in a timely manner to support the global distribution of clinical trial supplies. Creates and deploys dashboards and tools to assist Study Management and order fulfillment by Covance or 3PLs. Coordinate with IT and vendor IT support to establishes, maintain, or terminate Electronic Data Interchange (EDI) connections. May act as a liaison with sales or customer service regarding ship dates or work order status.

People Responsibilities:

  • Coach and mentor the employees of the department and conducts the employee performance reviews and sets developmental objectives with employee feedback

  • Where applicable, conduct employee performance reviews and set developmental objectives

  • Assures accurate and timely completion of work in the area particularly for order management and supply chain reviews etc.

  • Provide leadership and work-related training and maintaining appropriate levels of departmental coverage.

  • Develop and improve team performance criteria in the areas of:

  • Customer Satisfaction

  • Productivity

  • Profitability

  • Employee Satisfaction

  • Supplier Development

  • Operational Performance

  • Directs special projects related directly or indirectly to specific areas of responsibility.

Essential Job Duties:

  • Plans, organizes, and directs the Distributed Order Management processes and associated systems for all business units assigned.

  • Provide strategic planning to leverage the DOM across assigned Covance business units.

  • Manage the production, narrative and distribution of monthly departmental statistics and performance.

  • Participate with other Covance Managers to ensure:

  • Effective cross-team and cross business unit communication

  • Effective communication with other departments

  • Resource allocation to meet unexpected customer requirements

  • Consistency is achieved where necessary

  • Employee training is maintained and team building skills are mastered

  • Team roles are defined by job descriptions

  • Deliver on-going Process Improvement that benefit Covance

  • Undertake system enhancements coordinating with IT and external vendors

  • Provides troubleshooting and assistance (both oral and written) to customers or investigators as required.

  • Provides direction, leadership and approval for areas under direct supervision.

  • Ensure all service failures are identified and resolved.

  • Proactively manage and drive resolution of customer issues with and across departments, International locations and other Covance business units.

  • Undertake specific projects as required

  • Position is 100% strategic

  • Other duties as assigned by senior management.



  • Four (4) year degree in Business, Supply Chain or the Life Sciences

  • The position requires strong, precise, analytical skills and demonstrated organizational and planning skills.

  • Strong inter-personal skills including effective Constructive Confrontation


  • A related advanced degree.

  • C.P.M. or ASAP Certification.

  • Experience data visualization and data analytics tools like Python, Tableau, R Studio, or IBM Cognos.

  • Experience with People Soft or other ERPs and SQL quires is a plus.


  • Minimum of a four (4) year degree in IT, Business, or the Life Sciences.

  • Ten (10) years of Warehouse Management System (WMS) experience with installing, enhancing, and customizing.

  • At least ten (10) years of customer service experience preferred.
